TableWeaver Privacy Policy
This Privacy Policy explains how TableWeaver collects, uses, stores, scans, and shares information when you use TableWeaver websites, applications, and related services.
1. Who we are
TableWeaver is a platform for tabletop roleplaying game masters and players to manage and share digital table assets, including maps, handouts, quest information, combat status, display views, and related session materials.
For privacy questions or requests, contact us at support@tableweaver.app.
2. Scope and availability
TableWeaver is currently intended for users located in the United States. The service is in a free beta period and may change as the product develops.
TableWeaver is intended for users who are at least 13 years old. If you are under the age of majority where you live, you should use TableWeaver only with permission from a parent or legal guardian.
3. Information we collect
Account and Google sign-in information
TableWeaver currently supports Google OAuth as its login method. When you sign in with Google, we may receive basic account information from Google, such as your name, email address, profile image, and Google account identifier, depending on the permissions shown on the Google sign-in screen.
Content you add to TableWeaver
You may upload, create, or store tabletop content in TableWeaver. This may include campaign notes, maps, handouts, images, PDFs, scene information, player names, encounter data, quest data, combat state, viewer links, display tokens, and related metadata.
Uploaded or shared content, including images and related metadata, may be processed by automated safety and content moderation tools before or after it is stored, displayed, shared, or made available through viewer links.
Moderation, safety, and abuse-prevention information
When content is uploaded, shared, reported, or otherwise processed by TableWeaver, we may collect and store moderation-related information. This may include upload status, scan results, moderation labels or confidence scores, review decisions, rejection reasons, report details, account enforcement history, and audit logs.
Usage, device, and log information
We may collect technical and usage information needed to operate, secure, debug, and improve the service. This may include IP address, browser type, device information, pages viewed, timestamps, request logs, error logs, authentication events, upload events, moderation events, and similar diagnostic data.
Analytics
TableWeaver uses Cloudflare Analytics and server logs to understand site traffic, performance, security events, and service reliability. We do not use advertising cookies or sell analytics data.
Payment information
TableWeaver is currently a free beta and does not collect payment card information. If paid features are added later, this policy will be updated before those features are made available.
4. How we use information
We use information to:
- Provide, operate, and maintain TableWeaver;
- Authenticate users through Google OAuth;
- Store and display your tabletop assets according to your choices;
- Create and manage viewer links, display tokens, and shared table views;
- Review, scan, quarantine, approve, reject, remove, or disable content that may violate our policies or create legal, safety, or security risk;
- Detect and prevent adult or sexually explicit content, exploitative content, content involving minors, malware, illegal material, spam, abuse, or other prohibited uses of the service;
- Respond to reports, support requests, disputes, suspected abuse, and security incidents;
- Provide support and troubleshoot issues;
- Monitor security, prevent abuse, enforce our Terms, and protect the service;
- Understand service usage and improve reliability during beta; and
- Comply with legal obligations.
5. How we treat your campaign content
You keep ownership of the content you upload or create. TableWeaver does not claim ownership over your campaign notes, maps, handouts, images, PDFs, or other tabletop materials.
We may technically access or process your content as needed to provide the service, secure the service, troubleshoot issues, respond to your support requests, enforce our Terms, comply with law, or protect TableWeaver and its users.
Uploaded content may be temporarily placed in a pending or quarantined state while safety, abuse-prevention, or content moderation checks are performed. Content that is flagged may be rejected, hidden, disabled, deleted, retained for review, or escalated where required by law or necessary to protect TableWeaver, users, or the public.
We will not use your campaign content for marketing, public examples, product demonstrations, AI training, or other external purposes without your express written permission.
Automated moderation, safety scanning, abuse prevention, security review, and legal compliance processing are considered part of operating, securing, and enforcing the service. These activities do not give TableWeaver ownership of your content.
6. AI, automated moderation, and content scanning
TableWeaver currently has no AI content-generation features. We do not use your uploaded or created tabletop content to train AI models.
TableWeaver may use automated tools and third-party service providers to scan uploaded or shared content, including images, for safety, abuse prevention, content policy enforcement, security, and legal compliance. This may include detecting adult or sexually explicit content, exploitative content, content involving minors, malware, illegal material, or other prohibited uses of the service.
Automated moderation and safety scanning are used to operate, secure, and enforce the service. They are not used to create public examples, marketing materials, product demonstrations, or AI training datasets without your express written permission.
7. How we share information
We may share information in limited situations:
- Service providers. We may use vendors that help with hosting, storage, authentication, analytics, security, logging, email, infrastructure, content moderation, safety scanning, abuse prevention, and operational support.
- Google OAuth. Google provides the account authentication method used by TableWeaver.
- Cloudflare and infrastructure providers. Cloudflare and similar providers may process traffic, logs, cached content, security signals, and related technical information to provide hosting, routing, analytics, performance, security, abuse-prevention, and content-safety features.
- Content moderation and safety providers. We may share uploaded or reported content, content metadata, and related account or technical information with moderation, safety, or abuse-prevention providers so they can help detect prohibited content, enforce policies, secure the service, and support legal compliance.
- With your permission. For example, if you authorize us in writing to view, use, or feature your campaign content.
- Legal and safety reasons. We may disclose information if required by law, legal process, or applicable reporting obligations, or if needed to protect rights, safety, security, users, the public, or the integrity of the service.
- Business changes. If TableWeaver is reorganized, transferred, or combined with another service, information may be transferred as part of that process, subject to this policy or a successor policy.
We do not sell personal information. We do not sell Google user data. We do not use your Google user data for advertising.
8. Viewer links and shared display access
TableWeaver may create viewer links, display URLs, viewer tokens, or similar access methods so that a game master can show selected content to players. Anyone with access to a valid viewer link or token may be able to view the content made available through that link. You are responsible for sharing those links only with people you intend to have access.
Content may be unavailable through viewer links if it is pending review, quarantined, rejected, removed, disabled, deleted, or otherwise restricted for safety, security, legal, or policy reasons.
9. Data retention
We keep account information and user content for as long as needed to provide the service, maintain your account, support beta operations, comply with legal obligations, resolve disputes, enforce agreements, and maintain backups. Server logs, analytics data, moderation records, security records, audit logs, and abuse-prevention records may be retained for a limited period for security, debugging, legal, and operational purposes.
Pending or quarantined uploads may be retained while automated checks or manual reviews are completed. Rejected, disabled, or removed content may be deleted, retained for a limited period, or preserved where needed for security, abuse prevention, enforcement, dispute resolution, legal compliance, or reporting obligations.
If content appears to involve exploitation of minors, illegal content, or other serious safety concerns, we may preserve related records and disclose information as required or permitted by law.
You may request deletion of your account or content by contacting support@tableweaver.app. Some information may remain in backups, logs, moderation records, security records, audit records, or legal records where deletion is not immediately practical or where retention is required for security, legal, safety, enforcement, or operational reasons.
10. Security
We use reasonable technical and organizational measures designed to protect information handled by TableWeaver. These may include access controls, private storage for pending or quarantined uploads, logging, abuse-prevention systems, and security monitoring. No online service can guarantee perfect security, and you should use care when uploading sensitive or copyrighted materials and when sharing viewer links.
11. Your choices and requests
You may contact us at support@tableweaver.app to request access, correction, export, or deletion of personal information associated with your TableWeaver account. We may need to verify your identity before fulfilling a request.
We may limit or deny a request where necessary to protect other users, preserve security or abuse-prevention records, comply with law, enforce our Terms, resolve disputes, or maintain records that we are legally or operationally required to keep.
12. Children
TableWeaver is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to TableWeaver, contact us at support@tableweaver.app.
TableWeaver does not permit content that sexualizes, exploits, abuses, or harms minors. Content that appears to involve exploitation of minors or other illegal conduct may be removed, preserved, escalated, or reported as required or permitted by law.
13. Changes to this policy
We may update this Privacy Policy as TableWeaver changes. When we make material changes, we will update the effective date and may provide additional notice where appropriate.
